1. Discovery Fee (Non-Refundable)The £495 Discovery Fee is non-refundable. This fee covers the upfront planning and preparation work completed before any production begins, including:
Initial consultation and briefing
Research and creative direction
Script shaping or outline generation
Treatment, structure, and planning
Early design and content development
As this work is completed in advance and cannot be reused for other clients, the Discovery Fee remains non-refundable once paid.
2. Remaining Balance (Refundable Until Production Begins)The remaining balance for your chosen service is only payable after the Discovery outputs have been reviewed and approved. To be clear:
The remaining balance is refundable up until production begins
Once production begins, the remaining balance becomes non-refundable
What counts as “production begins”?Production is considered to have begun when any of the following take place:
Avatar video scenes or voice performances are generated
Editing, assembly, or video build work starts
Your brand assets (logos, images, scripts) are inserted into the project
Storyboards or structures are locked and moved into the build phase
Localisation or multi-language variants begin processing
Once production begins, resources, time, and digital processing are committed, so refunds are no longer possible.
3. Client CancellationsIf a client cancels the project:
After paying the Discovery Fee: → The Discovery Fee is non-refundable.
After paying the remaining balance, but before production begins: → A refund of the remaining balance may be issued.
After production begins: → The remaining balance becomes non-refundable.
4. Avatarman CancellationsIf Avatarman needs to cancel a project before production begins:
The remaining balance will not be charged (or will be refunded if already paid).
The Discovery Fee remains non-refundable due to the preparatory work already completed.
5. Rescheduling & TransfersIf you need to reschedule your Discovery session, we are happy to do so at no additional cost, provided reasonable notice is given.
6. Digital ProductsAll completed digital products — including avatar videos, scripts, files, assets, and localisation outputs — are non-refundable once delivered, due to the personalised nature of digital content.
7. Fairness & DiscretionWe recognise that circumstances can change unexpectedly. If you feel your situation requires special consideration, please contact us — we will review each case individually and aim to respond within 5 working days.
8. Governing Law (UK & International Clients)This Refunds Policy is governed by the laws of England and Wales. Clients based in Scotland, the USA, and other international locations agree that any disputes related to this policy shall be handled under the exclusive jurisdiction of the courts of England and Wales.
